Key responsibilities of the position:
Reporting to the Senior Manager for the People Success Team in Europe and Asia, the People Success Coordinator will serve as an essential resource for the People Success Team and employees across our centers in Europe and Asia.  Responsible for supporting HR processes and administrative work streams for CIC European and Asian locations, s/he will also serve as a valued liaison between CIC’s Global Centers of Excellence and the European part of the People Success Team. S/he will actively seek out new tools and best practices from the field, introduce fresh efficiencies and innovations, and present design ideas in ways that easily  communicate and illustrate key information Ensuring timely data input, s/he will find and strengthen workflow touchpoints, and facilitate collaboration and information flow between stakeholders of the respective teams internationally.
 
Potential responsibilities will include (but are not limited to):
 
Regional activities:
  • Support the Senior Manager for People Success Team in Europe and Asia in HR admin tasks, including:
  • Creating track lists of ongoing projects and tasks related to the work of the Senior Manager.
  • Creating repositories of HR policies in a shared folder.
  • Creating charts and mapping out workflows for the processes to be more efficient.
  • Working with local teams to finalize onboarding, offboarding, internal transition and other Asana templates for each location. Check from time to time that the process is working smoothly.
  • Work in partnership with CoEs to find workflow efficiencies.
  • Help manage global HR systems, in collaborations with People Ops CoE, including but not limited to:
  • Namely (entering new employees, updating titles, reporting structure and compensation).
  • Lessonly (ex. ensuring local updates are entered into Lessonly handbooks, and local changes to benefits are reflected in all globally-held materials).
  • OOO calendars.
  • Support in managing the repositories of local templates (e.g. offer letters). Brand existing documents and policies to align with global standards.
  • Use Asana as project management tool to organize and sync work with other teammates.
  • Participate and contribute to team initiatives as appropriate.
Local (Warsaw) Activities:
  • Create team and org charts; also handbooks and other local documents as needed in coordination with appropriate CoEs to ensure consistent standards.
  • In collaboration with Talent Development & Talent Acquisition CoEs, support a smooth onboarding process for new hires, in collaboration with Talent Development & Talent Acquisition CoEs, specifically:
  • Contact respective teams (e.g local Finance Team and HR) after the new hire is being made.
  • Make sure that the Hiring documents are completed and transferred to HQ/HR and Finance teams.
  • Collect all the new hire info for CIC internal systems.
  • Sending first Communication to New Hire (CICH Canned Responses).
  • Assigning Lessonly content to New Hire.
  • Participate and contribute to team initiatives as appropriate.

YOU HAVE
  • Recruiting and/or coordination experience and/or project management experience.
  • A natural interest in helping and supporting others.
  • Great skills in communicating in Polish and English (additional languages will be considered a plus).
  • Experience in international support and introduction of processes across multiple offices.
